1.    Use of the word “you” includes any substitute and may refer to more than one person. It is the original person’s responsibility to make sure that any substitute is aware of these T&C’s.

2.    Field Trips will be announced up to three months in advance, but booking places for trips will only be possible from 6 weeks prior to departure

3.    Insurance: You are responsible for your own travel insurance [1]. The organisers and/or Friends of Avinença will not accept liability in any respect for any loss or injury that may be suffered by people who travel with us or whilst taking part in Friends of Avinença activities.

4.    Booking & Payment: We operate a “You say, you pay” system. If you reserve a place, either by booking a seat or seats through our website or at a U3a meeting, we will require you to honour your booking by making payment in full for the places reserved, even if you subsequently fail to take part in the trip. [2]

5.    Payment in full for a trip will be required at least 3 days before the excursion takes place. Places are allocated on a ‘first come, first served’ basis with website bookings (with card payment) taking priority. Cash may be collected at the U3A and other organisations’ monthly meetings by our coordinators with confirmation depending on availability.

a.    No refunds will be made in the event that you are unable to attend. However you may arrange a substitute, as long as the promoters are advised by email 24 hours before the event takes place.

b.    If you cannot attend or find a substitute, we will try to find someone from our reserve list, but we must have at least 3 days notice. If we can fill the place we will collect the money from the substitute and issue a credit to you. This credit will only be valid for one of the trips on offer in the following two months.

c.    If, by prior written agreement, arrangements have been made for payment on the day and you do not take part then you will be held liable to pay for the cost of the place.

6.    Event cancellation. In the case of an event being cancelled by Friends of Avinença, a full refund of the ticket price will be made.

7.    Departure times, we adhere strictly to the departure times. If anyone is not available by the departure time, the coach will leave without them and they will not be entitled to any reimbursement.

8.    Lunch, bring your own packed lunch



[1] The coach companies have their own passenger liability insurances. The various locations open to the public have insurance and most people have their own travel insurance.

[2] The coach and professional guides etc. have to be paid irrespective of the number of folk taking part.

3   Our programme, once we arrive on site, depends on the level of interest shown by members in the subject about which we are learning. Generally we will break for lunch in the campo, sometimes without a nearby bar.
